Rodel is committed to protecting user privacy, maintaining appropriate safeguards for information shared through the platform, and being transparent about how information is collected, used, and managed.

Rodel AI is designed primarily for organizational and program-level planning. Users should provide only the information necessary to support their planning activities and avoid sharing confidential, personally identifiable, or otherwise sensitive information.

Important Privacy Notice: Do not upload student records, patient information, confidential personnel records, proprietary financial documents, or other sensitive information. Whenever possible, use aggregated, de-identified, or summarized information instead.

Each user’s experience is unique. Conversations, prompts, and generated materials are intended for that user’s use and are not shared with other users or organizations.

The platform is designed to minimize the collection and retention of user information. However, information may be processed or temporarily retained by the technology supporting the AI. Users should not submit personally identifiable information, confidential student or patient records, or other sensitive materials.

The information collected depends on the features users access and the information they choose to provide.

2. How We Use Information

Information shared through Rodel AI may be used to:

If project memory or shared workspaces are enabled, information may be retained beyond an individual conversation and made available to authorized users associated with the relevant project or organization.

Users should not assume that information entered into the platform is anonymous, temporary, or automatically deleted when a session ends.

Rodel AI is intended to support collaborative planning while maintaining appropriate restrictions on access to user and organizational information.

4. Third-Party AI Providers and Model Training

Rodel AI may rely on third-party technology providers to process user questions, retrieve relevant source materials, and generate responses.

Information submitted through the platform may be processed by these providers as necessary to deliver the requested services, subject to applicable agreements and technical safeguards.

Rodel does not independently use user conversations or uploaded documents to train publicly available artificial intelligence models.

Rodel’s intended approach is to use AI services that do not use customer conversations, uploaded documents, or restricted source materials to train general-purpose AI models without appropriate authorization.

The specific data-processing, retention, and model-training practices of third-party providers are governed by their applicable agreements and service configurations.

5. Confidentiality and Sensitive Information

Rodel AI is not designed to collect, process, or store sensitive individual records.

Users should not enter or upload:

• Personally identifiable information, including Social Security numbers, personal identification numbers, or financial account information.
• Student education records protected by the Family Educational Rights and Privacy Act (FERPA).
• Protected health information governed by the Health Insurance Portability and Accountability Act (HIPAA).
• Student names, identification numbers, dates of birth, disability information, or individual financial-aid records.
• Confidential personnel or employment records.
• Proprietary business information or confidential organizational financial records.
• Confidential grant applications, unpublished proposals, or restricted partner information.

6. State and Community-Specific Resources

Rodel AI includes federal, state, and community-specific financing resources, including fiscal maps, funding information, and philanthropic research.

Some materials may be restricted to users affiliated with an authorized organization, state, or community.

The platform is designed to use account information and geographic authorization to determine which resources users may access.

• General playbook materials and shared instructional resources may be available to all authorized users.
• State-specific fiscal maps may be available only to users authorized for the relevant state.
• Community-specific philanthropic resources may be available only to users authorized for the relevant community and state.
• Access to one state’s or community’s resources does not automatically authorize access to materials associated with another location.

Entering a different location into a conversation does not independently authorize access to restricted information.

Users should respect geographic and organizational access restrictions and should not attempt to obtain or distribute materials outside their authorized access.

7. Data Storage, Retention, and Deletion

Depending on the platform’s configuration, Rodel AI may retain conversations, uploaded documents, generated work products, account information, and technical records to support ongoing planning activities, security, troubleshooting, and platform operations.

Retention periods may vary depending on the type of information, the services involved, and applicable legal or contractual requirements.

Where a Clear Chat or similar feature is available, it may remove conversation content from the user’s active interface. Clearing a conversation does not necessarily mean that all associated records, technical logs, backups, or service-provider copies are immediately deleted.

Users may contact Rodel with questions about accessing, correcting, or requesting deletion of information associated with their use of the platform.

Requests will be reviewed in accordance with applicable requirements and available technical capabilities.

8. Data Security

Rodel seeks to maintain reasonable administrative, technical, and organizational safeguards appropriate to the information processed through the platform.

These safeguards may include authentication, access permissions, restrictions on state- and community-specific materials, secure data transmission and storage, and controls governing access to saved planning materials.

Access to user information should be limited to authorized individuals and service providers with a legitimate operational or support-related need.

However, no internet-based platform or electronic storage system can guarantee absolute security. Users should exercise appropriate discretion when sharing information and follow their organization’s information-security policies.

Where shared workspaces or collaborative planning features are available, information may be accessible to other authorized participants associated with the relevant project or organization.

Users are responsible for reviewing generated documents before downloading, distributing, or sharing them with external partners.

Rodel AI does not independently authorize grant submissions, financial commitments, official communications, or other consequential actions on behalf of users or their organizations.

10. Accuracy of AI Responses and Funding Information

Rodel AI is designed to support research, planning, and informed decision-making. The platform draws on the Rodel Toolkit for Financing Career Pathway Systems, supporting publications, federal and state fiscal maps, philanthropic research, and other available resources.

Although these materials are intended to provide useful guidance, AI-generated responses may contain errors, incomplete information, or outdated references.

Users should independently verify:

• Funding availability, eligibility, and allowable uses.
• Grant deadlines, application periods, and award requirements.
• Federal, state, and local appropriations or allocations.
• Program administration and funding access requirements.
• Legislative, regulatory, and compliance requirements.
